Nationwide Title Clearing received a notice from the Macomb County Clerk - Register of Deeds in Michigan of changes to the required information on documents submitted for recording (such as a mortgage assignment or lien release). The changes are being made to in order to implement a Tract Index system that will improve the ability to search public records. A Tract Index is a method of listing each parcel of land according to its location, along with all transactions involving it.
The notice states:
"Effective November 1st, 2011, all documents submitted for recording to the Macomb County Register of Deeds Office must include all of the following property and parcel identification information: Full legal description of the property; Full name of all Grantors/Grantees (no abbreviations), Current tax parcel identifications numbers; "Commonly known as" address, if any.
"Platted property descriptions and subdivision names should be fully stated and spelled out (no abbreviations), and the Liber and Page number of the recorded plat included as part of the description. Assignments and discharges must include a reference Liber and Page number.
"Current tax parcel identification information may be obtained online from the Macomb County Treasurer's Office at www.macombcountymi.gov/treasurer, or from the assessor's office of the local community where the property is located. Additional assistance may be obtained from specially designated terminals at the Office of the Macomb County Register of Deed.
"The inclusion of parcel and property identification information is necessary to enable the development of a Tract Index in the Macomb County. The establishment of a Tract Index will complement the Grantor-Grantee Index currently maintained by the Register of Deeds Office and will allow the public to search records by property description in addition to the names of parties.
"The property identification information is in addition to all other information required to record a document under MCL 565.201 and other applicable law. Failure to include a current tax parcel identification number may result in a delay in the recording of any document submitted for recording."
